Signature Management
Professionally designed, brand-ready templates with real render previews. Set your brand colour, font and logo once. Every design is on every plan.
Edit content, design, social links and disclaimer with a live preview, preview as a real person, and send yourself a test. Names, titles, departments and photos flow in from your directory. Import your own HTML with merge-field mapping.
Every signature is render-tested before you can publish: a compatibility check for Outlook, plus Gmail, Apple Mail and phone-width previews. Real Outlook captures are used where enabled; the other previews are labelled as stand-ins.
Require an approver's sign-off before a campaign or A/B test goes live, or before a new signature goes live, on every plan. On Enterprise you can also lock a signature, or just its footer, so it cannot be edited in the console, and require approval for an Editor's changes to it. Every request and decision is logged.
Deployment & Coverage
Growth and above: an Exchange transport rule appends your signature to outbound mail in transit, with no software on devices. It is checked and repaired automatically every 6 hours. Setup is guided, and a Microsoft admin still approves access and assigns the Exchange Administrator role. The rule carries one HTML block, with no photos, banners or tracked links. On every plan, use the Outlook add-in.
The Gmail API writes each employee's signature into their Gmail settings, used on new messages in Gmail on the web. Replies and forwards follow each person's own Gmail setting. Edits and publishes reach mailboxes within minutes.
Inserts your approved signature when someone starts a new message. Verified on Outlook on the web, and built for new Outlook and Windows and Mac desktop and mobile where Microsoft's add-in platform supports automatic insertion. Installed by an admin, on every plan. Optional send-time check, signature lock and native-signature suppression.
A compose-window command that inserts the approved signature with one click. Individual install today; organization-wide install through the Google Workspace Marketplace is coming soon.
Register shared mailboxes so the Outlook add-in applies the right signature when someone sends from them. They never use a seat. On Microsoft 365 with the Exchange connection (Growth and above), Bantusign also lists the shared mailboxes Exchange Online reports, so you can add them without typing each address: it reads only that list and who may send as each mailbox, never mailbox content, and registers nothing until you add it. Coverage shows, for each registered shared mailbox, Confirmed by add-in once the add-in has reported a signature for it in the last two weeks, and No evidence yet otherwise, which is not proof that mail is unsigned. Google Workspace has no shared-mailbox equivalent in this release.
Per-employee status: Confirmed, Inferred, Pending, Drifted, or Not covered, with the evidence and the time it was last checked. Inferred is never rounded up to Confirmed. Confirm coverage re-reads on demand. For anyone who is not Confirmed, Why isn't this signed? lists the checks in order, what each rests on and the fix for it, and changes nothing.
Optional on Microsoft 365 (Growth and above): once a day Bantusign sends one message from a mailbox you name to an address it owns and reads it once to see whether your Exchange rule's signature is on it. It proves the rule for that one sender mailbox, not every mailbox, so everyone else stays Inferred. Bantusign alerts you once when verification stops, for example when the check keeps failing or the rule is not firing, and clears the alert when it is fixed. If the rule or Bantusign is unavailable your mail is still delivered, without the signature.
Signature Health & Analytics
Gmail mailboxes are read back every 24 hours, and a changed signature is flagged and re-pushed at the next sync. Microsoft 365 Exchange rules are checked and repaired automatically every 6 hours (Growth and above). Admins are alerted.
Growth: one score and trend for field quality, brand-kit consistency and link health, plus per-template render and compliance issues. Deployment problems and drift are on the Coverage page.
Growth: checks that your live templates apply your brand font, colour, logo and disclaimer, and the same blocks as your default template.
Clicks, impressions (image loads, not email opens), per-department click-through rates and A/B test results (Growth). Click tracking stores no IP address or user agent, and applies to Gmail and Outlook add-in signatures, not to the Exchange rule.
Growth: a daily scan checks the links and images in your signatures, including logos, campaign banners and social links, and flags the ones that break.
Growth: coverage and analytics reports emailed on a schedule and downloadable as PDF. Partners can schedule PDF and CSV reports for their clients.
Administration & Security
Map departments and subsidiaries. Assign templates by department, job-title rule or individual.
Scheduled sync (hourly by default, and you can change it) from Microsoft Entra ID, Google Workspace, BambooHR, Workday and ServiceNow, or import a CSV. SCIM 2.0 user provisioning is on Enterprise. A mass-departure guard and a seat-approval step hold back surprising changes.
Every change is logged with who, when, and the before and after values; filter it and export it. On every plan, kept for seven years by default and shortenable to 90 days.
SAML 2.0 and OpenID Connect sign-in with enforcement and a way back in, on every plan. Plus data retention policies and domain verification.
API keys, with optional expiry, a read-only REST API and signed outbound webhooks to an https endpoint of your own are available today on every plan.
Per seat with no minimum. Alias mailboxes are never billed, seat increases are prorated immediately, and downgrading never deletes anything.
